WhatsApp message templates for bulk sending (with examples)

Last updated: 12 October 2026

A good template is not a canned message. It is a skeleton you reuse, with placeholders where the personal details go, so the same structure produces a slightly different message for every recipient. This page covers what belongs in a template and what does not, gives ten copy-paste examples with a rendered version of each, and explains how to store templates so a campaign takes minutes rather than an afternoon.

Reusable vs written fresh

Not everything deserves a template. A template earns its place when the structure repeats and only the details change: an order status, an appointment time, a back-in-stock notice. If you send the same kind of message to ten or a hundred people, templating it saves time and prevents the mistakes that come from retyping.

Write it fresh when the message is genuinely unique — a reply to a complaint, an apology for a specific failure, a negotiation. Those messages are short and rare, and a template would flatten exactly the human tone that matters. The test is simple: if you can describe the message as a category ("dispatch notification", "appointment reminder"), it is a template; if it only makes sense as a one-off ("sorry about the mix-up with Tuesday"), write it by hand.

The anatomy of a good template

Four parts, in this order, and nothing else:

  1. A greeting with the person's name as a merge field: Hi {first_name},. This is the single change that moves a message from mailshot to note.
  2. One clear reason for the message. One. Not a newsletter of three updates. The recipient should be able to say what you wanted in a single sentence.
  3. One call to action. A question to answer, a link to tap, a reply expected. If you ask for two things, you will usually get neither.
  4. An opt-out line where it is relevant — for announcements and marketing rather than transactional messages. Something plain like "Reply STOP if you would rather not get these" costs one line and gives the recipient a way out.

Rules that keep a bulk send looking human

How to store and reuse templates

A template is only useful if you can reach it again without rebuilding it. In WhatsApp Auto Sender Studio, saved templates live in the extension alongside your contact lists and parameter tables, so you can load one, swap the message text, and send — without re-importing a spreadsheet or retyping the copy you already polished.

The workflow that holds up over time is short. Keep a small library of templates named by purpose ("dispatch update", "appointment reminder") rather than by date, so you always know which one you are loading. Import a parameter table whose column names match your placeholders, choose the recipients from that table, then drop the template in and let each row fill its own values — that is a custom parameter message, and it is the same idea covered in our guide to personalised WhatsApp messages. When you want to draft a message by hand first, the message personaliser tool lets you test how a template reads before it goes to a list. If you sell online or book appointments, the same structure adapts directly — see the templates in our guides to e-commerce order updates and appointment reminders, or the property-focused versions in WhatsApp for real estate agents.

Placeholder reference

Use the same placeholder name everywhere, and make sure each one has a matching column in your spreadsheet.

Placeholder Fills with Typical source column
{first_name}Recipient's first nameFirst name
{last_name}Recipient's surnameLast name
{order_id}Order or reference numberOrder ID
{product}Item, service or topicProduct
{date}Relevant dateDate
{time}Relevant timeTime
{tracking_link}Tracking URLTracking
{listing_link}Listing or product URLListing URL
{business_name}Your business or venue nameConstant

Where a column might be empty, set a sensible default so no message goes out with a gap — "there" in place of a missing first name is better than "Hi ,". And test the template on your own number first; reading it in a real chat catches awkward phrasing that looks fine on a draft screen.

Frequently asked questions

What is the difference between a template and a saved message?

A template is the reusable skeleton with placeholders such as {first_name} and {order_id} left in it. A saved message is that template after the values have been filled in for one specific campaign or recipient. Keep the template, and fill the values from your spreadsheet each time you send.

How many placeholders should a WhatsApp template use?

As few as it takes to make the message feel written for that person, and no more. A name plus one specific detail — an order number, a date, a product — is usually enough. Load a template with six placeholders and it starts to read like a form letter, and one wrong value looks obviously machine generated.

Can I use emoji and links in bulk WhatsApp messages?

Use at most one emoji, if any, and at most one link per message. Long messages full of emoji, capital letters and multiple links are the pattern that gets a number reported. Keep the message short enough to read on a lock screen without scrolling.

Where are my templates saved?

In WhatsApp Auto Sender Studio, saved templates stay in your browser alongside your contact lists and parameter tables. You can reuse a template for later campaigns without re-importing anything, and uninstalling the extension removes the local data with it.

Save your templates once, reuse them for every campaign

Store templates and parameter tables in the browser, fill each recipient's values from your spreadsheet, and send from the WhatsApp Web tab you are already signed into.
